Physical activity

Now you have inspiration for your activity, you can begin to put into practice your new ideas.

When organizing a physical educational activity, consider the following practical aspects. If you have any other ideas, add your thoughts below!

Venue

Where will the education activity take place? Is there enough space for everyone? Is the place accessible for everyone? Are there any specific rules of the place that can hinder the educational activity? What kind of an advantage can you take of the surroundings? How can you create a special atmosphere (decoration, music, special corners, etc.) for the participants? Is there a possibility for accommodation, if needed? If it is going to be an outdoor activity, consider issues such as weather, security concerns, permission etc..

Food

What variety of food would you like to provide to the attendees? Is there a possibility the food/treat to be provided at the place or do you need to bring or even cook yourselves? When the food will be served? Would you promote certain values by the food you are providing, e.g. local producers, organic, seasonal, vegan/vegetarian, low-carbon, etc? 

Participants

What information do you send the participants before the educational activity? How do you welcome the participants? How do you support them during the activity? What do you do in emergencies? What would you like to share with the participants after the activity? 

Safety rules

What are the safety rules of the place and emergency exits? How do you provide the emergency contacts, just in case? Do you have a first aid kit with you?

Materials and equipment

What stationery do you need for the activities? What kind of learning/educational materials do you provide to the participants, and what equipment do you need for your activity (computer, speakers, microphone, printer, flipchart etc) Do you consider the environmental aspect of the materials and what are the alternatives? Do you need to prepare some promotion materials or gifts for the attendees?

Sustainability

What is the environmental impact of your educational activity? How can you make the activity more sustainable and environmentally friendly? 

Communication

How do you intend to communicate with your target group and participants? How do you envisage the promotion of the educational activity? How do you reach more people and organizations? Do you engage with the local media? How do you promote your educational activity on social media? 

 

 

Budget

Do you have a budget for the educational event? Is there any funding secured? Or how do you organize an event with no budget? Where can you find financial support – what about funding institutions, sponsors, programs, local municipality, government? Or in-kind support – what about friends, organizations, institutions, schools, universities?
